The information we collect

When you complete the enquiry form on this website, we ask for:

  • your name
  • your email address
  • your organisation, if you give one
  • your telephone number, if you give one
  • the service you are enquiring about
  • the details of your enquiry, which may include a property address

We also hold information you send us directly by email, telephone or post, including correspondence about work we have quoted for or carried out.

If you apply for a vacancy, we hold the CV and supporting information you send us by email.

We do not ask for special category data. Please do not include health information or other sensitive personal details in an enquiry unless it is necessary for us to understand the work required.

How we use it, and our lawful basis

  • Responding to enquiries and preparing quotations. Our lawful basis is legitimate interests, namely responding to a request you have made of us.
  • Carrying out work and managing our contracts. Where you are our customer, our lawful basis is performance of a contract.
  • Meeting our legal and regulatory obligations, including health and safety records and accounting records. Our lawful basis is legal obligation.
  • Considering job applications. Our lawful basis is legitimate interests, namely assessing candidates for a role, and taking steps at your request before entering into a contract.
  • Understanding how our website is used, so we can improve it. Our lawful basis is legitimate interests, namely running a website that works well for the people who use it. You can object at any time with the switch under Cookies and analytics, below.
  • Telling organisations about our services. Our lawful basis is legitimate interests, namely developing our business. This is explained under Business contacts and marketing, below.

We do not use your information for automated decision making or profiling, and we do not sell it.

We may collect and process business contact information to identify potential clients, introduce our services and establish professional relationships with organisations that may require our services.

  • records of business enquiries, correspondence and follow-up communications
  • communication preferences and requests not to receive further marketing

How we obtain information

We may obtain business contact information directly from individuals, through professional introductions and referrals, or from publicly available business sources, including company websites, professional directories and business networking platforms such as LinkedIn.

How we use this information

We may use this information to:

  • contact relevant businesses and professional representatives, by email or through social media, about our property maintenance, refurbishment, damp and mould services
  • respond to enquiries and discuss potential business opportunities
  • maintain records of business development communications
  • manage follow-ups and professional relationships
  • record and respect requests not to receive further marketing communications

Our lawful basis

Where appropriate, we rely on our legitimate interests in developing our business, identifying potential clients and establishing relevant commercial relationships.

Retention

We retain business contact information only for as long as reasonably necessary for the purposes described above, subject to periodic review. The periods are set out under How long we keep it, below. Where someone asks not to receive further marketing, we may retain limited information on a suppression list to ensure their preference is respected.

Your rights and marketing preferences

You have the right to object at any time to the use of your personal information for direct marketing purposes.

If you do not wish to receive further business development communications from ABM Contracting, you can reply to any marketing email or contact us at marketing@abmcontracting.co.uk.

We will respect your request and stop using your personal information for direct marketing.

Cookies and analytics

We use Google Analytics to understand how people use this website, so that we can improve it. It shows us which pages are visited, how visitors found the site, what kind of device and browser they used and roughly where they are. It also counts, without recording who did it, how often the enquiry form is sent and our phone number or email address is clicked, so that we can see which parts of the site lead to enquiries. Nothing you type into the form is sent to Google Analytics. We look at this only as totals and trends. We do not use it for advertising or combine it with anything else we hold, and it does not tell us who you are.

To tell one visit from another, Google Analytics stores two cookies in your browser, named _ga and _ga_CQDG020Q94, which last for up to two years. Google provides the service as our processor, acting only on our instructions.

You can turn it off at any time. Your choice is remembered in this browser, and turning it off deletes those cookies.

You can also block cookies in your browser's settings, or install Google's opt-out browser add-on, which turns Google Analytics off on every website you visit.

Our hosting provider keeps standard server logs, which may include IP addresses, in order to run the service securely and reliably.

Who we share information with

We do not sell or rent personal information. We share it only where we need to:

  • Resend, which delivers enquiry form submissions to us by email
  • our website hosting provider, which serves this site
  • Google, which provides our website analytics
  • Microsoft, which provides our email service
  • FullWerks, which runs our marketing and business development on our behalf
  • Anthropic, which hosts the online tracker we use to record our business development contacts
  • our accountants and professional advisers, where relevant
  • a housing provider or managing agent, where we are carrying out work on their behalf and they need details of the job or appointment
  • anyone we are required to share it with by law

Where your information is held

Our website, enquiry form and email systems are in the UK and Europe. Some of our other providers, including the one that hosts our business development tracker, may process information outside the UK. Where that happens, we rely on the safeguards those providers have in place, such as UK adequacy regulations or standard contractual clauses.

How long we keep it

  • Enquiries that do not lead to work: up to 12 months
  • Customer and contract records: 6 years after the end of our relationship, to meet accounting and legal requirements
  • Job applications from candidates we do not take on: up to 12 months, unless you ask us to keep your details on file for longer
  • Business contacts we approach for marketing: up to 12 months from our first approach if they do not reply, otherwise up to 24 months after our last contact with them
  • People who ask us to stop marketing to them: the minimum needed to respect that request, kept on a suppression list for as long as we are marketing
  • Website analytics: up to 14 months, after which Google deletes the data automatically

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete information, in certain circumstances
  • ask us to restrict how we use it, in certain circumstances
  • object to our use of it where we rely on legitimate interests
  • object at any time to our using it for direct marketing
  • ask us to transfer it to another organisation, in certain circumstances
  • withdraw your consent, where we rely on consent

Complaints

If you are unhappy with how we have handled your information, please tell us first so that we have the chance to put it right. You also have the right to complain to the Information Commissioner's Office.
